Lead Response Time: Why Speed to Lead Wins or Kills the Deal

June 25, 20267 min readSalesLead generationAutomation

Contact a lead in 5 minutes and you're 21× more likely to close them than at 30 minutes. Here's how to build a system that actually hits that number.

The single most predictive number in inbound sales isn't your close rate. It's not your CPL. It's how many minutes pass between a form submission and the first human contact.

The 5-minute rule

The famous InsideSales / Harvard Business Review study looked at 2,241 U.S. companies and found leads contacted within 5 minutes were 21× more likely to convert than leads contacted at 30 minutes. Wait an hour and your odds fall off a cliff.

The problem is almost nobody hits 5 minutes. The average across industries is closer to 47 hours. That's not a typo.

Why 5 minutes matters

A prospect who fills out your form is at the peak of their intent right then. They just decided the problem is real. Ninety seconds later, they're already comparison-shopping. Ten minutes later, they've submitted forms with two of your competitors.

You're not competing on price at that point. You're competing on presence.

What actually hits sub-5-minute response

  • An automated text or email that fires in under 60 seconds.
  • A phone-based CRM that pushes new leads to a live rep with a loud notification.
  • Off-hours coverage — either a virtual receptionist or a text-based bot that captures info until morning.
  • A single owner or SDR of the response — not "whoever gets to it."
  • A follow-up cadence that doesn't stop after one attempt.

The automation is the easy part

Auto-texting a new lead is a 15-minute setup. The harder part is the second contact — the actual live conversation. That's where deals are made or lost.

Best practice: automation handles the acknowledgement, humans handle the conversion. Don't try to close in an auto-text. Just buy yourself the 5 minutes until a human can call.

What to measure

Two numbers, tracked weekly:

  • Median time-to-first-contact for new leads.
  • % of leads contacted within 5 minutes.

If those numbers aren't visible on a dashboard, they will drift. Make them visible and they'll improve without anyone giving a speech about it.

The bottom line

Speed to lead is the closest thing to a free growth lever most businesses have. It doesn't require more ad spend, more content, or a better product. It requires answering the phone.
